How to register tutorial

EPIC has a registration website http://en.inscription.epic-asso.com/
This website intends to give maximum chances to all participants by improving its interface, accessibility and simplifying the process.

– This website is multilingual FR/EN

– It allows to PREPARE YOUR REGISTRATION.
For each new contest organized by EPIC; you can prepare your registration before the opening day by filling the whole form. You can edit & complement your registration if needed… so everything is ready for the D Day.

– The website renames automatically your files.
Old timers of EPIC cosplay contests know that we asked them to rename properly the files with first name, name etc… This allows us to save a lot of time and work more efficiently. This was previously a reason that could see your registration denied.

– And finally it certifies us you have read and agreed with the rules.
You won’t have to print and bring papers that many of you were forgetting on D Day.

Now let’s review the registration process step by step.

1. Create your account
Click on the button on the top right « create an account » in order to fill the form.
You must input the following information, it won’t be shared to any third party:
– Name
– First name
– Nickname
– Email
– Password
– Birthdate

A confirmation of your account creation will be sent to the email address you provided.
Click on the link in the email in order to validate your account.
In the situation you didn’t receive the email within the following hour, please write us at contact[at]epic-asso.com so we can give you assistance.

2. My Account
Now you can connect to your account by click on the « connect » button on the top right.
Input your email and your password.
If you forgot your pass word, click on « Lost Password ?» in order to reset your password.
Once connected, a new button “contest” will appear in the menu. You can then see the list of the different contests organized by EPIC.

3. Prepare your registration
Click on the button « prepare your registration » on the contest you wish to apply for on the contest list page.
You can now read and check the rules of the contest, these can be different from one contest to another. Take your time to read carefully.
Choose your category, solo or group.
A. Solo
By entering as a solo participant, we already know your name, first name and birthdate.
You must then give the following information: the series, the character, if it’s your first contest, if your cosplay is an « original creation » (fanart, customized character… if the rules allow it of course).

You must upload on our website your audio file and your reference image. We do not accept external links from sharing files websites.

You must inform of ALL your weapons, accessories or props in the field dedicated to additional information. Warning, all accessories or props not indicated during the registration will have to be declared during the checking on D Day in order to be checked and allowed on stage.

You can now confirm. Your registration is ready. You can modify it to your liking until the registrations open.

B. Group
Only the group leader makes the registration for his/her group.
As the group leader, we already know your name, first name and birthdate.
You must then give the following information: the series, the character, if it’s your first contest (for the whole group), if your cosplay is an « original creation » (fanart, customized character… if the rules allow it of course).

You must upload on our website your audio file and your reference image. We do not accept external links from sharing files websites.

You must inform of ALL your weapons, accessories or props in the field dedicated to additional information. Warning, all accessories or props not indicated during the registration will have to be declared during the checking on D Day in order to be checked and allowed on stage.

Click on « Add member » to register another person to your group by giving his/her name, first name, birthdate, series, character and reference image. Repeat the same process for each member of your group.

You can add and delete member to your group at any time.

You can now confirm. Your registration is ready. You can modify it to your liking until the registrations open.

4. Opening of registrations
A. You have prepared your registration
Click on the “submit your registration” and go to step C.
B. You want to create a new registration
Make the registration by filling the whole form as indicated in the part 3 “Prepare your registration”, click on “Validate” and go to step C.
C. Accepting the rules
A pop-up will open and ask you to confirm that you are agreeing with the rules of the contest (you can read them again if needed, thanks to the links provided).
Click on the checkbox if you accept the rules, you can submit your registration to the contest.
Now you have to wait for your registration to be checked and processed by our staff.

5. During the registration period.
You can consult on the contest list page your registration status.
If this one is complete and valid, you will be informed on this page.
If it is rejected, you will be warned on this page and you will receive an email to give you the reason why. You will be able to modify and fix your registration on the website and submit it again. No modification by email will be accepted.

6. Closing of registrations
It won’t be possible to register to the contest and no modification will be allowed. If your registration had the “rejected” status, you can not modify or submit it anymore.
So do not wait the last minute to register!
Our staff will then take charge of the validation of the registrations.
By chronological order (day and time), registrations « read and valid » are added to the contest list until the timeslot of the contest is filled. They are “confirmed”. The next ones are added to the « waiting list ».

An email is sent to each registration confirmed or in waiting list in order to inform you of your status.
